Audio Visual and Event Guidelines

Availability

All equipment is available on a 1st Come, 1st Serve basis. Reservations are strongly encouraged especially during busy times of the year (J-Term, Breaks, and Finals). Training will be provided for all equipment that is available.

Priority

  1. Luther Colleges Faculty, Staff, or Departments
  2. Student Organizations
  3. Luther-affiliated programs
  4. Non-Luther events

Types of Events

Equipment available from the Technology Help Desk is meant to support Academic purposes and events at Luther College. While every attempt will be made to accommodate requests, we cannot guarantee a solution. The equipment is ideal for classroom or lecture halls and not large venues such as a gymnasium or outdoor space for an exceptionally large audience.

Speakers and Microphones – These systems are Public Address systems, not sound systems. They are not rated to handle bands or loud music. They can handle acoustic or small group vocal performances.

After Hours Support

The Technology Help Desk is open the same hours as the Library. In most occasions, Help Desk staff can assist in setting up equipment, contingent upon availability of staff. After hours support is limited and must be arranged well in advance. Last minute support cannot be guaranteed and should not be expected.

Recording Events

Video Cameras and Digital Recorders are available to record classes or events. The Help Desk can assist in setting up such equipment and making certain it works. It is the responsibility of the instructor or event organizer to arrange for someone to record the event.

The Help Desk will assist in exporting data from a video camera or digital recorder onto another format (DVD, MP3, etc). We cannot provide extensive editing or mass duplication support. Recordings exported by the Help Desk will be done in a raw, uncut format (i.e. – no editing, menus, etc).
